Patient Registration

SeginusMD's Patient Registration feature records and displays all relevant patient information on one tabbed form. This user-friendly display makes SeginusMD's data entry intuitive and easy. Wherever possible, data entry is validated against practice-maintained administration tables to ensure accuracy and to increase reporting reliability. System users are alerted when a patient's registration is incomplete.

Information that can be accessed and edited in the Patient Registration Form includes:

  • Demographic data
  • Insurance details (including guarantor, effective and expiration dates, etc.)
  • Medical profile (including allergies and other conditions)
  • HIPAA compliance and restrictions
  • Appointments (past and future)
  • Prescription history
  • Referral history

Appointment Scheduling and Management

An Integrated, Rules-Driven Scheduling Engine

SeginusMD features a highly configurable rules-based scheduling system. Practitioner preferences concerning visit type, visit duration, resource allocation, overbooking and availability combine to define scheduling filters. In practice, support staff can easily enter appointment search criteria to instantly acquire a list of candidate appointment dates for either office visits or surgical bookings. This list is maintained until a date is selected, until another search is invoked, or the process is cancelled. Emergency appointments can be entered directly.

Appointments are booked by selecting a patient first, which gives the staff an opportunity to check addressing, current employment, and insurance coverage information before moving forward to use a criteria-driven wizard that produces a list of candidate appointment dates. The engine behind this form considers clinical requirements, physician preferences, and resource requirements and availability when generating its selections.

Managing Appointments

Support staff can easily schedule, reschedule or cancel appointments using simple point-and-click and drag-and-drop operations. Bump list management is available for rescheduling unavoidable practitioner or office cancellations. Appointment status flags indicate the circumstances under which an appointment was kept or cancelled, or if the patient was a no-show. SeginusMD maintains a complete record of each patient's appointments for clinical, billing and reporting purposes.

Resource Scheduling and Maintenance

The SeginusMD system can be configured with individual clinician scheduling preferences, and maintains a separate schedule for resources such as labs and equipment. This frees the clinician schedule for appointments that require more hands-on time. Custom financial reports are also available to track the revenue of key resources and high-ticket items, allowing the user to project more accurate revenue patterns and monitor ROI.

Referral Tracking

SeginusMD includes a module for the creating and tracking of patient referrals for lab work, radiology and consultations. Office staff can record appointment pre-certification numbers and the appropriate CPT and ICD billing codes selected. A reminder system is used for follow up and to track referral results.

The appointment management system can attach appointments to referrals through its referral tracking features and provide summary statistics to inform the office staff of the current status of a referral's approved visits, pending visits, completed visits and available visits.

Messaging

SeginusMD features advanced messaging services that automate and dramatically improve patient relationship management. SeginusMD automates message taking, message forwarding, chart retrieval, and pharmacy notification and resolution documentation.

SeginusMD contains its own messaging subsystem for the staff, providing a secure way for staff members to communicate with each other concerning clinical issues.

Billing

The billing module in SeginusMD is designed to help practices increase efficiency, reduce costs, and increase revenue in several ways. The intuitive interface is automatically populated with much of the necessary data, so that billing information can be entered quickly with a minimum of errors. Procedure codes are run through a number of checks to help ensure that only the correct codes are included in the bill - thus helping to reduce the number of rejected claims.

SeginusMD also includes tools to help track and resolve rejected claims, manage patient payment arrangements, and handle any other anomalies that arise. The powerful reporting feature generates a wide range of customizable reports with only minimal user input.

  • Activity - These reports are used for reconciliation of batch activity, auditing staff work, reconciliation of work performed and to initiate certain actions.
  • Accounts Receivable - The main function of A/R reports is to alert the manager of a problem and can be run on an aging or period basis, and for either self-pay, or insurance payer follow-up calls.
  • Procedures - These reports are historical and are used for both informational and comparative purposes. Reports such as Procedures by Provider, allow the practice to report individual provider activity, reimbursement and balance due. These reports can then be compared to determine results, calculate percentages and identify outliers.
  • Financial Reports - These reports are historical and informational and provide the numbers in a concise manner to the user. Such reports include our Financial Breakout, which provides a snapshot of where the reimbursements are falling short, as well as Monthly Summaries by practice or provider .
  • Performance Indicators - Performance Indicators are a growing area in the SeginusMD program. Used for analysis and trend recognition, these reports enable a practice to evaluate beyond simple financials.

The only software required to utilize SeginusMD is Microsoft Internet Explorer version 6.0 or higher - a standard Web browser on most Windows-based computers - and the Macromedia Flash plug-in, which is usually included with Internet Explorer. SeginusMD is based on a software-as-a-service model, so all of the back office software is centralized on SeginusMD's own secure servers. This means that you don't need to install any additional software on your desktop machines. No special hardware is required so you don't need to install any special networks or servers.
